Privacy Policy
Last updated October 30, 2026
The short version
- MunaMail is an app on your Mac. Your letters, attachments, mailbox passwords and sign-ins are stored on your Mac, not on our servers.
- The app talks to your mail provider (Gmail, Outlook, iCloud or any other) directly. Your mail never passes through MunaMail's servers.
- Our servers keep one thing about you: the email address you leave to join the beta.
- We do not sell data, show ads, or use your mail to train AI models.
Who we are
MunaMail is an email app for Mac that shows each person's email as a chat. In this policy "we" means the people who make MunaMail. You can reach us at hello@munamail.com.
The MunaMail app for Mac
What the app reads and where it keeps it
When you connect a mailbox, the app downloads your recent mail (letters, their senders and recipients, subjects, dates, attachments and read status) from your provider over an encrypted connection and keeps a copy in a folder on your Mac. It uses that copy to show your conversations, search them, and clean up quotes and signatures. The copy stays on your Mac until you remove the mailbox or delete the app's folder.
Passwords and sign-ins
If you sign in with Google or Microsoft, the provider sends the sign-in directly to the app on your Mac. If you use a password (an app password for Gmail or iCloud, or the password of another mail server), you type it into the app on your Mac. Either way it is stored on your Mac, readable only by your user account, and is never sent to us.
Sending mail
Letters you write go from your Mac to your provider's outgoing server, the same way any mail app sends them. A letter waits a few seconds before it goes so you can take it back; scheduled letters wait on your Mac until their time.
Google user data
If you connect a Gmail or Google Workspace account with Google sign-in, MunaMail asks for the scope https://mail.google.com/. Google requires this scope for apps that read and send mail over IMAP and SMTP. MunaMail uses it only to:
- download your mail to your Mac and keep it up to date,
- send the letters you write and save them to your Sent folder,
- send an unsubscribe request when you press Unsubscribe on a newsletter,
- mark conversations as read when you open them.
The data stays on your Mac. It is not transferred to MunaMail's servers or to anyone else, except the letter text you choose to send to an AI provider with your own key (see below). People at MunaMail cannot read it. We do not use it for advertising, sell it, or use it to train AI or machine-learning models.
MunaMail's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
You can remove MunaMail's access at any time at myaccount.google.com/permissions. Removing the mailbox in the app deletes its copy and sign-in from your Mac.
Microsoft accounts
For Outlook, Hotmail, Live and Microsoft 365 mailboxes, MunaMail asks Microsoft for permission to read and send your mail over IMAP and SMTP and to stay signed in. The same rules apply as for Google: the mail and the sign-in are stored on your Mac and are not sent to us. You can remove the access at account.live.com/consent/Manage, or your organization's administrator can.
AI features
Translation, one-line summaries, suggested replies and questions about a conversation are off until you switch them on and add your own API key for Anthropic (Claude) or OpenAI. When they are on, the app sends the text of letters from people, only in the chats you open, from your Mac directly to the provider you chose, under your key and that provider's terms. Newsletters are never sent. The results are kept on your Mac so each letter is processed once. MunaMail does not receive the text, the results or your key.
Pictures and links in letters
Many letters, newsletters especially, contain invisible tracking pixels that tell the sender when a letter is opened. MunaMail removes them before showing a letter. Other pictures are downloaded by the app on your Mac, so the sender's server can see your Mac's internet address when they load. Links open in your browser.
To show a company's logo next to its chat, the app loads the icon from that company's own website, from your Mac. No third-party icon service is used.
Our website and the beta list
When you join the beta on munamail.com, we store your email address, the language you chose and the date. We use them only to invite you to the beta and to write to you about it. You can ask us to delete them at any time.
The website sets no cookies and uses no analytics or advertising trackers. It remembers your language choice in your browser's local storage. Our hosting provider, Railway, keeps short-lived server logs (such as internet addresses and requested pages) to run and protect the service.
Who we share data with
We do not sell or rent personal data. The only service that handles data for us is our hosting provider, Railway, which stores the beta list. Your mail is handled by your own mail provider and, if you switch AI on, by the AI provider you chose; their privacy policies apply to that.
Keeping your data and deleting it
- In the app: remove a mailbox to delete its mail copy and sign-in from your Mac. Deleting the app's folder removes everything it stored.
- Google and Microsoft access: revoke it from your account settings using the links above.
- Beta list: write to hello@munamail.com and we will delete your entry.
Depending on where you live (for example, under the GDPR) you may have the right to see, correct, delete or move the data we hold about you. Write to us and we will help.
Security
Connections to mail providers, AI providers and our website are encrypted. Because your mail is kept on your Mac, its safety also depends on your Mac: we recommend turning on FileVault disk encryption and a login password.
Children
MunaMail is not meant for children under 13, and we do not knowingly collect their data.
Changes
If this policy changes, we will update the date at the top and, for important changes, tell people on the beta list by email.
